Back in November last year we announced a new feature, Resending Slips, which enables you to resend the emails to a parent for a specific Student and Slip. We’ve had great feedback from schools – and the number one request has been the ability to know which ones you have resent.
Today we have released an update that fulfills this request.
Every time you resend a Slip to a parent we log this information in the database, and now we give you visibility to that log.
On the Slip page, when viewing the list of Responses, a green envelope icon will display if the email has been resent, hover your mouse over the icon to see the date/time the email was resent.
We have also update the Student View page, the Resend link (and log icon) now is also available on the list of Slips sent to that Student – just to make life easier and saving you having to click back to the Slip View page to resend for a particular Student.
Today we are announcing the release of a raft of changes to the way you can view, list and manage the Responses submitted by Parents.
High on the list of requests from schools has been the ability to deal with situations where a particular student for some reason or other did not receive their Slip. Typically there are two scenarios:
- The Student was not allocated to the Student List when the Slip was emailed out.
- The Student did not have a Parent Contact allocated, or the Parent Contact did not have an email address configured when the Slip was emailed out.
The new features released today address both of these situations. We have substantially overhauled the Responses list when you view a Slip. The two big changes are:
- You can now Resend the emails for a particular Student by clicking the Resend link.
- There is a new section called Other Students that will display if there are Students on the Lists selected, but who have not been sent the Slip. You can click the Send Slip link, they will be sent the emails and be moved to the list of Responses above.
In the situation where a Student appears on the Other Students list, but their Parent Contact(s) don’t have email addresses, you will be told this, and will not see a Resend link until email addresses are configured.
In addition we have also made the following changes:
- The Responses list now has paging. We’ve noticed schools sending hundreds of Slips out, so the list becomes very long and unwieldy. It made sense to introduce paging, you’ll now see 100 Responses at a time, and can move through the list by clicking the page numbers at the top right.
- The Student and Parent names now are clickable links so you can jump to their specific records. This is particularly handy when you are working to resolve a problem, for example dealing with a missing email address for a Parent. Previously you would have had to go and search for the Parent’s name, now you can just click through.
Sometimes the small things matter the most, and most people would agree they would always prefer to be addressed by name. We realised recently that the emails ParentPaperwork sends to parents were not actually personally addressed, so now they are!
It can be frustrating not being completely sure a parent has received an email. ParentPaperwork already can tell you if a parent has opened an email, now there is also notification for:
- No email address at all
- A delivery error was recorded
When you view the list of parent responses for a Slip, there are two new icons.
The red triangle is a warning that the Parent contact does not have an email address, we’re also displaying this icon in other places where a parent is listed, so it’s clear you might have a problem.
The red envelope icon shows that there was an error recorded when we tried to deliver an email to the parent. You can click the icon to pop up a window containing the actual error message.
Today we have released a great new feature for ParentPaperwork, the ability to trigger additional reminders to parents for Slips they have not yet responded to. Up until now there has only been one automated reminder sent to parents, based on the Due Date for the Slip. If a parent does not respond by the Due Date they are sent an email reminder.
Whilst we are seeing fantastic response rates from parents (in general our analysis shows greater than 50% of parents respond within 24 hours, and many even sooner than that) we all know that some people can require a little ‘hurry up’.
The new feature allows you to schedule a reminder to be sent the next morning for any of your Slips.
After you log in to ParentPaperwork, click through to view your Slip. You will find a new Action drop down menu at the top. There are three options:
- Send Reminder
- Clone Slip
- Delete Slip
The Clone and Delete functions used to be buttons at the bottom of the page, but we decided to move them to this new menu for a couple of reasons: firstly they are not used regularly; secondly the row of buttons at the bottom was quite busy, so we left the buttons we see you using regularly, like Preview, and moved these two.
Clicking the Send Reminder button opens a popup window:
If you click the blue Send Reminder button, we will add a new reminder to be emailed to Parents the next morning (the reminders are sent around 7am).
You can only schedule a new reminder for each Slip each day – eg you cannot send more than one reminder for a Slip in a day.
Until now after parents completed and submitted their form to school they were shown just a quick summary of the form. If they clicked their link again, this summary was again shown. After feedback from parents and schools we’ve changed this so the full form is displayed after submission, including both the school data fields and the fields the parents completed in order to submit the form.
This makes a lot of sense. Some parents want to be able to print out the form to keep for their records – or if it’s anything like our house, stick on the fridge door to remind us our kids have an excursion on a particular day.
We’ve also done a little bit of work on the print version of the page, so it looks cleaner and more closely aligned to the form you see on screen.
UPDATE: We now email the file instead of showing you a download link
Did you know you can export data from more than one Slip within ParentPaperwork? This is a handy feature for archiving, analysis and other reporting.
On the Slips list, click the Action dropdown and select Export Slips.
A window will open for you to enter a date range. These are the dates between which the Slips were sent. For example, you can ask for data from all Slips sent between 17 May and 16 June. By default the dates will be for the past 30 days.
Click the Export button, the export process will start, be patient for a minute while the data is assembled.
When the file is ready you’ll be shown a link to click to download the file, it will be in Microsoft Excel format.
